WHAT IS BULK STANDARD MAIL (A)?

 

BULK MAIL CHECK LIST

          Basic Check List, Permit Insignia, When RETURN SERVICE REQUESTED should be used, etc.

TIME REQUIREMENTS

Important Notice:  It is required that departments working on bulk mail projects give our staff  at least a two day notice before bringing

                  a project to mailroom or shipping to be processed so that if additional assistance is needed backup coverage can be arranged.   

      Failure to comply could result in a delay in processing your mailing project.

Due to the volume of incoming and outgoing mail and packages, it is not possible to guarantee the processing of bulk mail projects in less than two business days.

             Project with less than 3,000 pieces may take up to two days to complete.

             Projects with 3,000 to 7,000 pieces may take up to 3 days to complete

             Projects with 7,000-20,000 or more pieces may take up to 4 days to complete

If they project is NOT organized correctly (not sorted, counted, piece count doesn't match, etc) it will take longer to process.

If more than one project is received at the same time there will be delays in getting the secondary project(s)  completed.  If this happens you will be notified.  Our staff will do what we can to get them out ASAP.  


BULK MAIL INSTRUCTIONS

Saturation Projects               Projects that are addressed to residential patrons, business patrons or postal patron.

                                                 If the department sending it out sets up the odd pieced bundles it can be processed faster.

Machineable Projects        Projects addressed to individual addresses such as post cards, basic letters, fliers & brochures

Non-Machineable Projects      Items addressed to individual addresses which have bulky items in them -                                                      (magnets, pens, or paper clips)

 Contact Mailroom/shipping personnel for the instructions to set up this type of project

OTHER NOTES

*    The department sending the bulk mail project out is responsible for bringing it to the post office and processing the requisition to reimburse the bulk mail account. 

*    Outgoing bulk mail projects need to be at the Post office before 4 pm.  If they will need to be brought back the next business day.

*    Also, be prepared to wait (10-30 min) for the project to be verified by USPS bulk mail personnel.  If the project is left on the counter and not verified the project will not be processed.

Mailroom/shipping staff will notify you and the business office when the project is done and will let you know the amount for the requisition to reimburse the bulk mail account.

Requisitions to reimburse the bulk mail need to include the following information   
      Reimbursement of bulk mail account  permit # ____        $0.00 amount due
        Separate check

OPTIONS TO HELP SAVE MONEY 1-21-10
Some things to consider for future bulk mail projects
1.  Change the size of your bulk mail pieces so that when items with incorrect addresses are returned the postage due is lower.
     Post Card Min 3 1/2" H X 5" L Max 4 1/4" H X 6" L - return postage due is $0.28 (2009 postage rates)
     Letters  Min 4 1/4"H  x 6" L  Max  6 1/8"H  x 11 1/2" L)  - return postage due is $0. 44 (2009 postage rates)
2.  Change to a simplified address (new option Jan 2010)  for items that are advertising an upcoming event  (Theatre, Music  or Art show )
      and the information is not intended for a specific individual and they do not need to respond to the information on the mail piece.
